Panelist FAQ

Registration vs. Check in

    1. Registration is to claim your FC panelist badge 
    2. Programming check in is to ensure you are on site and ready to present your panel/workshop/performance
      1. Use Verbiage: Since registration is usually busy and crowded, come to the Programming Check-In room after you get your badge to ensure the programming team knows you have arrived at the convention safely and are ready to present your panel. We can also answer any questions you might have. The Programming Check-In room also doubles as a green room for all panelists and performers. 

On the day of your panel 

    1. Claim your badge at the FC registration
    2. Then head over to Programming Check-in
    3. If you’re doing a performance and need time/space to warm up, we’ve got a green room for you to use. (room is not for storage or personal belongings, there is a free coat/bag check)
    4. If you’re doing a performance and need time to set-up/review tech/sound levels, be sure to arrange that ahead of time with our team so we can have A/V staff on hand and ready.
    5. You must arrive to your assigned room least 15 minutes before your scheduled panel/workshop/performance
      1. A FC programming volunteer will be at the room to help you with any of your needs 
      2. Tech questions/issues must be resolved by one of the hotel staff. The FC volunteer will fetch the necessary staff member if you need help

What to bring

    1. Bring a backup copy of your panel if you are presenting via projector 
    2. Any handouts, if you’re leading a workshop.

Running your Panel

    1. Not everyone is able to answer questions on the spot, so make sure you send your questions to your panelists in advance so they have time to think on them.
    2. If you plan on doing audience Q&A make sure you schedule enough time, and set yourself up for success by giving the audience proper instructions before opening up the floor. 
      1. Be sure to repeat the question asked to make sure your panelists and other audience members heard it. 
    3. Please be mindful of everyone’s time and end your panel on time. The volunteers will give you 5 minute warnings and signs to wrap it up.

Running your Workshop

    1. Keep in mind that the workshop rooms do not have A/V so you’ll need to make sure you speak loudly and clearly enough for people to follow along. 
    2. Be sure to bring all materials you need for your workshop as we won’t be able to supply you with any replacements or print any materials for you.

Running your Performance

    1. There will be time between scheduled performances for you (and your group) to do a small blocking or tech check. 
    2. Be aware that we’ll be able to provide wireless microphones with mic stands, but not body mics.
